Administrative Assistant - Architectural Control Committee (ACC)

Office Supervisor/Manager Position Summary:
The Administrative Assistant supporting the Architectural Control Committee (ACC) plays a critical role in coordinating, organizing, and executing the administrative functions of the committee. This position requires exceptional organizational and communication skills, keen attention to detail, and the ability to effectively manage multiple priorities in a dynamic community environment. Primary Responsibilities - Architectural Control Committee (ACC): Serve as the primary liaison between property owners and the ACC regarding architectural applications and compliance. Receive, review, and process architectural applications, ensuring completeness and adherence to established guidelines. Coordinate and schedule ACC meetings, prepare agendas, distribute materials, and record accurate meeting minutes. Maintain organized records of applications, approvals, denials, correspondence, and inspections. Monitor project timelines and follow up with applicants and contractors as needed. Assist in updating and distributing architectural guidelines and policy revisions. Coordinate site visits and inspections with ACC members. Support enforcement of deed restrictions and architectural standards through documentation and communication.
Qualifications:
High school diploma or equivalent required; associate or bachelor's degree preferred. Minimum of 3 years of administrative experience, preferably in a property owners association or similar environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Strong written and verbal communication skills. Ability to manage multiple tasks and meet deadlines in a dynamic environment. Familiarity with architectural review processes and POA governance is a plus. Professional demeanor and commitment to community service.
