Immediately Position Overview C.I.A. Services, Inc. is seeking a dependable, detail-oriented Support Staff member to provide access device, mailroom, facilities, and administrative support. The primary responsibilities include coordinating access devices, processing mail and deliveries, maintaining office equipment and supplies, managing records, and assisting with pool pass requests and other office projects. The ideal candidate is organized, professional, service-oriented, able to prioritize multiple tasks, and comfortable working independently and as part of a team. Key Responsibilities Access Device Coordination Issue, collect, replace, renew, and track keys, access cards, remotes, pool passes, and other access devices. Verify eligibility and required documentation before issuing devices. Maintain accurate inventory and records for devices issued to residents, owners, vendors, staff, and other authorized individuals. Coordinate access-related requests with Managers and team members. Provide courteous assistance regarding access procedures. Mailroom & Mailing Support Receive, sort, prepare, distribute, and process incoming and outgoing mail. Prepare and mail Board of Directors packages, Deed Restriction letters, Marketing Proposals, Welcome Packages, statements, and other correspondence. Process certified, first-class, UPS, Data Rush, and other special deliveries as required. Review daily mailout reports and ensure materials are mailed accurately and on time. Assist with client correspondence, special projects, and other mailing requests. Facilities & Office Support Monitor printers, copiers, postage machines, fax machines, and other office equipment; coordinate service and maintenance as needed. Monitor postage funds and maintain adequate supplies. Track office supply inventory and coordinate replenishment. Keep supply, equipment, and storage areas clean, organized, and properly stocked. Coordinate office deliveries and maintenance requests, and report equipment, supply, or facility issues to the appropriate Manager. Administrative, Filing & Records Support Provide copying, printing, scanning, faxing, filing, document assembly, and general clerical support. Prepare folders, reports, forms, correspondence, and other administrative materials. Organize and maintain Association operations files, owner files, and the Company Reference Filing Cabinet. Set up files for new clients and prepare records for annual archiving in accordance with company procedures. Organize archived documents, prepare inventory lists, and coordinate delivery to the designated storage facility. Maintain accurate, organized, and confidential records. Complete assigned tasks and special projects within established deadlines. Pool Pass Support Verify eligibility and required information, collect applicable payments, and process pool pass requests. Assemble, renew, distribute, and mail pool passes during designated processing periods. Maintain accurate records of pool pass transactions. Work Environment This is a full-time, in-office position in the Houston Region . Regular on-site attendance is required, and no work-from-home option is available . The Support Staff member will work closely with Managers and the office team and may assist with additional administrative and operational needs based on business requirements.
