- Answers and transfers phone calls, screening when necessary.
- Welcome and direct visitors and clients.
- Maintain the sign-in logbook and badges
- Maintain paper filing systems and scanned data files as assigned.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
- Provide email response assistance for company owners, including drafting, editing and sending messages in a professional and timely manner.
- Occasional trips to bank, post office and package drop off.
- Maintains office supplies and coordinates maintenance of office equipment.
- Responsible for maintaining inventory/stock levels for all items in the plant. Communicating with the department managers as to needs and coordinating the replacement.
- Maintains a system for recording expenses and the use of petty cash.
- Assists with accounts receivable and accounts payable with direction from the Controller
- Responsible for Workers Compensation incident forms, claim filing and insurance reporting.
- Assist HR Manager with payroll documents, applications, W-4, I-9, and all related forms
- Works with Kelly Bailey with Wagyu Excelente Sales various requirements, invoicing, tracking etc.
- Assists Controller and HR Manager as needed
- Performs other related duties as assigned.
Required Skills/Abilities:
- Excellent verbal and written communication skills.

- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
- Ability to handle confidential HR information regarding employees.
Decision-making:
Administrative Assistants need to make independent decisions daily, addressing the best way to handle specific tasks. Communications and collaboration : An Administrative Assistant must collaborate with other administrators and support personnel, management, and clients on a regular basis.
Education, License and Experience:
- Associate degree, Bachelor's degree in field or 3-5 years' experience in an administrative role.
- Proficient in Microsoft Office Suite or related software.
- Proficient with QuickBooks
- Must have a current Texas Driver's License.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times. $45,000.00 - $50,000.00 per year
