PRIMARY FUNCTION
To facilitate the efficient operation of the school administrative office and provide clerical services for the school's administrative staff.QUALIFICATIONS
High School Diploma or GED Proficient work processing and file maintenance skills Effective organizational, communication and interpersonal skills Ability to use personal computer and software to develop spreadsheets, databases, and word processing Knowledge of basic accounting principles One to three years secretarial experience, preferably in public education environmentMAJOR RESPONSIBILITY AND DUTIES
1. Serve as receptionist, answering the phone and taking reliable messages, and routes to appropriate staff. 2. Schedule appointments for the principal and teachers. 3. Take reliable messages and route to appropriate staff. 4. Assist students, teachers and parents as needed. 5. Type all written correspondence and properly route. 6. Maintain a daily teacher attendance log and call for substitute teachers when needed (at the discretion of the principal) and reconcile absence reports for all personnel.- Send absence reports with substitute sign-in list to personnel office each Monday.
- Give instructions to substitute teachers when they arrive.
- Record, using computer when students enter or withdraw from special programs (using PEIMS forms turned in by special programs teachers) 11. Check out textbooks to teachers and issue all supplies to teachers.
- Enter requisitions for teachers' supplies and check them in when they arrive.
- Collect monies for lost textbooks. 12. Maintain an accurate bookkeeping system for various monies turned into the office and campus budget records.
- Keep account of activity bank account (at discretion of principal)
- Keep account of all monies received for various reasons. 13. Enter all supply requisitions for custodians.
- Prepare work order requisitions 14. Perform routine office procedures efficiently.
- Type all reports required of the principal
- Type all correspondence for the principal.
- Maintain a good filing system in the office. 15. Sort, distribute or deliver mail and other documents. 16. Prepare honor roll and campus communication as requested. 17. Help care for sick children until nurse or parents can be notified.
- Contact parents about children who are absent over an extended period of time.
- Contact attendance officer about prolonged absences.
