Overview:
As an Entry-Level Administrative Assistant (AA), you will play a crucial role in ensuring the smooth operation of our office. You will be responsible for providing administrative support to our team, managing day-to-day office tasks, and assisting with various projects. This position reports directly to the SVP of Business Development.
Essential Job Functions:
Plans and coordinates calendar of appointments for SVP of Business Development and ensures schedule is followed and respected. Completes assigned reports accurately in a timely manner. Accurately arranges complex and detailed travel plans, itineraries, and agendas, including compiling documents for travel-related meetings. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the SVP of Business Development including those of a sensitive or confidential nature; Determines appropriate course of action, referral, or response. Manages a variety of special projects. Assists in coordinating the agenda of senior management team meetings. Other duties as assigned.
Skills, Abilities, and Experience:
High school diploma or equivalent; Associate's degree or relevant coursework is a plus. 0-1 years' experience in an administrative support role. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail while still meeting deadline pressures. Ability to be adaptable to various competing demands and still accomplish goals. Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners. Expert level written and verbal communication skills. Demonstrated proactive approaches to problem-solving with strong decision-making capability. Emotional maturity. Highly resourceful team-player, with the ability to also be extremely effective independently. Proven ability to handle confidential information with discretion. Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment. Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and other healthcare related software programs and interfaces.
