The Administrative Assistant plays a crucial role in ensuring the smooth and efficient operation of the office by providing comprehensive administrative support to the team. This position is responsible for greeting customers and guests, managing calendars, and handling multi-line phone systems to facilitate effective communication. The role requires meticulous records management and general clerical duties to maintain organized and accessible office documentation. By managing daily office operations and supporting various departments, the Administrative Assistant contributes significantly to overall productivity and workflow. Minimum Qualifications:
  • Proven experience in an administrative or office support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent verbal and written communication skills.
Preferred Qualifications:
  • Experience with calendar management software such as Google Calendar or Microsoft Outlook.
  • Knowledge of records management best practices and compliance standards.
  • Ability to operate multi-line phone systems and office equipment efficiently.
  • Previous experience supporting management teams.
Responsibilities:
  • Operate multi-line phone systems to direct calls, take messages, and provide information to internal and external stakeholders.
  • Great customers and guests.
  • Order and set up lunches for guests and meetings.
  • Perform general clerical duties such as filing, photocopying, scanning, and preparing documents to support office functions.
  • Maintain accurate and organized records management systems to ensure easy retrieval and compliance with company policies.
  • Assist with the preparation of reports, presentations, and correspondence as needed.
  • Serve as a point of contact for internal teams and external clients, fostering clear and professional communication.
  • Support office supply management by monitoring inventory and placing orders to ensure uninterrupted operations.
