An Office or Administrative Assistant performs administrative work in an office. Works in a wide variety of office settings, such as a company or business, or a government office or school. Manages paper and electronic files, uses office equipment including computers, responds to phone calls and emails, routes mail and maintains calendars and schedules.
The Administrative Assistant plays a key role in supporting the daily operations of New Danville by performing a variety of clerical, administrative, and customer service tasks. This position is the first point of contact for visitors and callers, and helps ensure smooth office function by assisting with data entry, filing, scheduling, and communication needs.
Key Responsibilities:
Front Desk & Communication Greet and assist visitors, clients, and families in a friendly and professional manner Answer and direct phone calls and emails to the appropriate staff Handle incoming and outgoing mail and deliveries Administrative Support Maintain and organize office files, records, and documentation Assist with data entry and management of internal databases Prepare, format, and distribute letters, reports, meeting minutes, and other documents Help coordinate meetings, appointments, and staff schedules Operations & Compliance Support onboarding by collecting client documents and filing them appropriately Maintain updated records related to training, licensing, and compliance Order office supplies and track inventory Special Projects Assist with event planning and coordination for internal or community functions Help with documentation and administrative tasks for the day program Provide backup support for other administrative team members as needed
Qualifications:
High school diploma or GED required; Associate's degree or administrative certification a plus 1-2 years of administrative or office experience preferred Strong organizational and time management skills Excellent verbal and written communication skills Proficient with the Google Platform, Microsoft Office (Word, Excel, Outlook), and basic database use Friendly, professional demeanor with a commitment to confidentiality Ability to multitask and adapt in a dynamic nonprofit environment
Working Conditions:
On-site, Monday through Friday, with occasional weekend or evening events Fast-paced, active environment requiring frequent interaction with clients and staff Some lifting (up to 25 lbs), walking, and standing required
