Job Description
The Alumni Relations Administrative Assistant provides support to the alumni relations team in cultivating relationships and managing day-to-day office operations. This position involves communicating with alumni, maintaining budgets, completing database updates, and assisting with events and various administrative tasks. Assist with the planning and execution of events that engage and connect alumni. These events include but are not limited to: homecoming, founder's week, commencement, golf tournament, networking events, and reunions. Maintain multiple budgets that include but are not limited to: Alumni Office, Student Alumni Association, Centralized Scheduling, and Community Sponsorships. Prepare deposits, monthly reports, process requisitions and purchase orders, and manage inter-departmental billing using approved University processes and systems. Manage P-Card processes. Assist with database management and the updating of alumni contact information that includes but is not limited to: mailing addresses, phone number, email address, employment information, coding of affinity connections and obituary listings. Provide administrative and project support to the AVP of alumni and community relations and the alumni relations team. Create a welcoming and professional first impression as the initial point of contact for the Alumni Relations Office by staffing the front desk, answering phones and emails, greeting guests, and addressing questions and inquiries from visitors. Engage in alumni outreach support by preparing monthly birthday cards, writing and ending congratulatory notes to alumni, preparing and delivering gifts for alumni resenters visiting campus, and tracking data in a spreadsheet. Facilitate the operational functions and initiatives of the National Alumni Council, Community Advisory Board, Community Action Team. Other duties as assigned. Minimum Qualifications Associates degree or commensurate experience Recent office experience; knowledge of business procedures, accounts receivable, and office management. Good communication and organization skills. Ability to work with diverse groups. Exceptional customer service skills. Strong attention to detail and solution oriented. Computer experience, including email and proficiency in Google Suite Microsoft Platform. Proficiency with Adobe products a plus. Willingness and ability to work evenings and weekends as needed. Preferred Qualifications Bachelors degree. Minimum of two years office experience; knowledge of business procedures, accounts receivable, and office management. Working knowledge of Banner, the University's financial management software. Computer experience, including email and proficiency in Google Suite Microsoft Platform. Proficiency with Adobe products a plus. This position is contingent on Funding. Due to recent changes in H1B visa fees, Southern Utah University is no longer able to sponsor international faculty and staff that require an H1B visa and are currently living outside of the United States.
