$18.00 - $22.00 per hour, based on experience About GHR Center GHR Center for Opioid Addiction Treatment and Recovery is an outpatient substance use disorder treatment provider dedicated to providing compassionate, professional, and patient-centered care. Our services include outpatient substance use disorder treatment, medication-assisted treatment (MAT), OBAT services, behavioral health services, care coordination, peer support, and intensive outpatient services. We are seeking a dependable, organized, and compassionate Front Office Medical Assistant to join our team. This position plays an important role in both the daily operation of our medical office and the overall patient experience. The ideal candidate is professional, reliable, comfortable working in a fast-paced behavioral health and addiction treatment environment, and able to manage multiple responsibilities while maintaining strict patient confidentiality. Primary ResponsibilitiesFront Office & Patient Services Greet patients professionally and provide a welcoming, respectful environment. Check patients in and out for scheduled appointments. Answer incoming telephone calls and route calls appropriately. Schedule, confirm, reschedule, and cancel patient appointments. Maintain accurate patient demographic and insurance information in the electronic medical record (EMR). Verify that required patient forms, consents, releases, and other documentation are completed. Assist patients with completing registration and other required paperwork. Collect copayments, deductibles, self-pay amounts, and outstanding patient balances when applicable. Provide receipts and accurately document patient payments. Communicate appointment requirements and office procedures to patients. Monitor provider schedules and assist with maintaining efficient patient flow throughout the day. Communicate scheduling issues, cancellations, no-shows, and other concerns to appropriate staff. Assist with incoming and outgoing medical records requests and releases of information in accordance with HIPAA requirements. Scan, upload, and properly categorize documents within the patient's electronic medical record. Maintain an organized and professional front office and reception area. Medical Assistant Responsibilities Assist medical providers with patient flow and preparation for appointments. Obtain and document vital signs when required. Obtain patient medical information as directed by the medical provider. Prepare examination and treatment areas for patient visits. Assist providers with appropriate clinical and administrative tasks within the Medical Assistant's scope of practice. Perform urine drug screens and specimen collection according to GHR Center policies and provider orders, as permitted within the employee's scope and training. Properly label, document, secure, and prepare specimens for laboratory processing. Maintain appropriate chain-of-custody procedures when required. Document clinical information accurately in the patient's electronic medical record. Assist with medication-related administrative processes, including obtaining information needed for prior authorizations and communicating with pharmacies as directed by medical providers. Assist providers with obtaining outside medical records, laboratory results, pharmacy information, and other clinical documentation. Monitor clinical and medical supplies and notify management when supplies need to be reordered. Follow infection-control, universal precautions, and workplace safety procedures. Insurance & Administrative Support Verify patient insurance eligibility and benefits when required. Obtain and document insurance information accurately. Assist with prior authorization requests and insurance documentation. Communicate insurance issues to appropriate billing or administrative staff. Help ensure patient information necessary for accurate billing is complete. Work collaboratively with the billing department regarding patient demographic, insurance, or authorization issues. Assist with obtaining referrals or other payer-required documentation when applicable. Behavioral Health & Substance Use Treatment Responsibilities Because GHR Center serves individuals receiving treatment for substance use disorders, the Front Office Medical Assistant must maintain a professional, respectful, and nonjudgmental approach with every patient.
Responsibilities include:
Treating all patients with dignity, compassion, and respect. Maintaining appropriate professional boundaries. Protecting the confidentiality of substance use disorder treatment information. Following applicable HIPAA requirements and heightened confidentiality requirements applicable to substance use disorder treatment records, including 42 CFR Part 2 . Immediately reporting patient safety concerns, threats, emergencies, or unusual incidents according to GHR Center policy. Working effectively with prescribers, clinicians, care coordinators, peer support specialists, billing staff, and administrative personnel. Supporting GHR Center's policies related to
MAT/OBAT
services, toxicology testing, patient appointments, treatment compliance, and continuity of care. Required Qualifications High school diploma or GED required. Medical Assistant education, training, certification, or relevant medical office experience preferred. Previous experience in a medical office, behavioral health practice, substance use disorder program, primary care office, or similar healthcare environment strongly preferred. Basic understanding of medical terminology. Comfortable working with electronic medical records and computer-based scheduling systems. Strong telephone and customer-service skills. Ability to accurately enter and maintain patient information. Strong organizational and time-management skills. Ability to multitask in a busy medical office. Ability to communicate professionally with patients, providers, coworkers, pharmacies, laboratories, and insurance companies. Must maintain patient confidentiality at all times. Must be dependable, punctual, and able to maintain consistent attendance. Preferred Qualifications Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), or equivalent credential. Experience working in addiction medicine, behavioral health, psychiatry, MAT, OBAT, or substance use disorder treatment. Experience with Medicaid and commercial insurance verification. Experience obtaining prior authorizations. Experience with urine drug screening and laboratory specimen collection. Experience using an electronic medical record (EMR). Familiarity with HIPAA and 42 CFR Part 2 confidentiality requirements. Compensation within the posted range will be determined based on the candidate's relevant medical office experience, Medical Assistant experience, credentials, behavioral health/SUD experience, and overall qualifications. Physical Requirements The position may require prolonged periods of sitting, standing, and computer use; frequent communication by telephone and in person; movement throughout the medical office; and occasional lifting or moving of routine office or medical supplies. Schedule Full-Time Schedule will be based on GHR Center's operating hours and patient-care needs. Reliable and consistent attendance is an essential function of this position. Why Join GHR Center?
