Job Description
Overview We are looking for a reliable and organized Office Assistant to help us manage our daily office operations. You will ensure a smooth, efficient and welcoming work environment for staff, clients and vendors. This role requires a strong, independent person who can manage administrative workflows, solve problems proactively and keep our systems running without constant supervision. Duties Manage front desk responsibilities, including greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy Perform data entry tasks accurately using productivity software such as Microsoft Office, spreadsheets, and Word processing tools Handle calendar management for staff Maintain organized filing systems—both digital and physical—to support efficient document retrieval and record keeping Assist with client communication, customer service inquiries, and follow-up correspondence to foster positive relationships Support office management tasks such as inventory tracking, supply ordering, and basic troubleshooting of office equipment Utilize technical proficiency in computer skills to prepare reports, proofread documents, and ensure overall office productivity Experience Previous clerical or administrative experience in an office setting is preferred Familiarity with QuickBooks accounting software Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Excellent phone etiquette and communication skills Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with data entry and typing accuracy Experience managing multi-line phone systems, calendar coordination, and client communication enhances your fit for this role Ability to handle confidential information discreetly while maintaining high levels of professionalism
