Farmville, Virginia 23901 Monday-Friday Crossroads Community Services Board is seeking an organized, dependable, and customer-focused Clinic Office Assistant to support the daily administrative and reimbursement functions of an assigned clinic. This position serves as an important point of contact for clients, visitors, and staff and combines the responsibilities of a receptionist, clinic secretary, and reimbursement clerk. The Clinic Office Assistant performs a variety of administrative duties, including answering and routing telephone calls, greeting and registering clients, scheduling and maintaining records, completing data entry, filing, scanning documents into the Electronic Medical Record (EMR), and assisting with general clinic operations. This position is also responsible for maintaining client account information, receiving and recording payments, preparing deposits and fee reports, verifying insurance coverage, updating financial agreements, and assisting with third-party insurance authorizations. Additional responsibilities include preparing petty cash, postage, and supply requests and supporting clinic staff with maintaining accurate and confidential clinical records. The successful candidate should possess strong customer service, communication, organizational, computer, and data-entry skills with excellent attention to detail. The ability to effectively manage multiple responsibilities while interacting professionally and compassionately with clients, staff, and community partners is essential. Because this position handles confidential medical and personal information, the employee must maintain strict confidentiality and comply with HIPAA and agency privacy requirements. Minimum Qualifications High school diploma or GED required. Secretarial, clerical, administrative, data-entry, bookkeeping, or related office experience preferred. Strong computer, organizational, record-keeping, and customer-service skills. Ability to accurately handle payments and basic financial information. Experience working with the public is preferred. Knowledge of insurance verification, Medicaid, Medicare, third-party reimbursement, or healthcare office procedures is preferred but not required. Experience working in a behavioral health, medical, or human services setting is a plus. Must be able to maintain confidentiality and appropriately handle sensitive client information. Travel within the Crossroads service area and a flexible work schedule may be required based on agency and program needs.
