Temporary Secretary

Please note this is a temporary position.

Position Summary

The School Secretary provides front office and clerical support to ensure efficient daily school operations. This role serves as the primary point of contact for students, families, and visitors and supports the maintenance of accurate student records and office systems.

Responsibilities

Serve as receptionist and manage high-volume communications

Maintain student attendance and records in compliance with regulations

Support enrollment, registration, and student record transfers

Prepare routine correspondence and school communications

Maintain filing systems and office organization

Assist with scheduling and basic event coordination

Support substitute coordination and daily logistics as assigned

Maintain office supplies and assist with ordering

Assist staff, students, and families with school-related inquiries

Support school events and reporting needs

Collaborate with administrative staff to ensure continuity of office operations

Perform other duties as assigned

Knowledge/Skills

Knowledge of general office procedures and customer service practices

Basic understanding of student information systems and attendance processes

Skill in managing high-volume phone and in-person interactions

Strong organizational and time management skills

Ability to follow established procedures and maintain accurate records

Ability to communicate effectively with students, families, and staff

Skill in basic data entry and document preparation

Ability to maintain confidentiality of student information

Qualifications

High school diploma or its equivalent, required.

One to three years of clerical or office experience, preferred.

Proficiency with Google Workspace (Docs, Sheets, Gmail, Calendar) and ability to learn district-specific information systems quickly.

Strong organizational skills with exceptional attention to detail; ability to maintain accurate records in a high-volume environment.

Previous experience working in a K-12 school district environment — familiarity with school culture, student information systems, and attendance procedures is a significant advantage.

Physical Requirements

Work is performed primarily in a school office environment and requires extended periods of sitting, computer use, and operation of standard office equipment. The position may require standing, walking, bending, reaching, and lifting materials weighing up to approximately 25 pounds. This position requires the ability to move throughout school buildings and district facilities. Regular, reliable, and predictable attendance is an essential function of this position.
