Job Description

Northwestern Counseling & Support Services is seeking a Front Office Assistant to join our team! The ideal candidate would be able to work a flexible schedule between the hours of 7:30am - 5pm Monday and Friday, and 7:30am - 7pm Tuesday, Wednesday, Thursday.
Responsibilities include:
Greet clients and visitors, determine the purpose of visits, and provide appropriate assistance Answer incoming calls using a multi-line phone system and route callers to appropriate staff or community resources Prepare and assist clients with required registration paperwork Enter client registration information accurately and efficiently into the electronic medical record Navigate electronic medical records and automated scheduling software Collaborate with billing staff to obtain updated insurance information and required documentation Make appointment reminder calls for Outpatient and Psychiatry providers Scan incoming documents into the clinical record Monitor and route incoming faxes Receive and distribute mail and packages Order and maintain office supplies Assist clients with voter registration upon request Maintain multiple priorities in a fast-paced environment while preserving strict client and operational confidentiality Cross training to support all locations as needed
Requirements:
Proficiency in the use of modern technology Reception/customer service experience Health care administration/medical records management experience High School Diploma or equivalent Ability to work independently and with a variety of personalities Positive attitude Strong oral and written communication skills Dependable attendance and punctuality to support consistent front office coverage Candidates who are solution-focused, detail-oriented, self-motivated, and have a desire for continuous learning will be considered.
