The ideal candidate will manage schedules, communications, meetings, documents, follow-ups, and day-to-day priorities with professionalism, accuracy, and confidentiality. Key Responsibilities Manage the executive's calendar, appointments, meetings, and reminders. Review, organize, and prioritize emails and other communications. Draft and proofread emails, letters, reports, presentations, and business documents. Coordinate meetings, prepare agendas, take notes, and track action items. Follow up with employees, clients, vendors, physicians, and business partners. Organize files, contracts, contact lists, and confidential records. Assist with travel arrangements, reservations, and expense tracking. Conduct online research and prepare concise summaries. Maintain task lists and provide daily or weekly priority reports. Support business-development and administrative projects as assigned. Coordinate personal appointments and errands when requested. Anticipate needs, identify scheduling conflicts, and resolve routine issues independently. Handle sensitive personal, financial, and business information with strict confidentiality. Qualifications Previous experience as a Personal Assistant, Executive Assistant, or Administrative Assistant is preferred. Excellent organizational and time-management skills. Strong written and verbal communication skills. Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and cloud-based document systems. Ability to manage multiple priorities and meet deadlines. Strong attention to detail and follow-through. Professional, resourceful, discreet, and trustworthy. Ability to work independently with minimal supervision. Experience in healthcare, laboratory services, or business development is a plus. Performance Expectations The Personal Assistant is expected to: Maintain an accurate and well-organized calendar. Communicate professionally and promptly. Complete assignments accurately and on time. Track tasks through completion without requiring repeated reminders. Protect confidential information at all times. Provide proactive updates regarding deadlines, risks, and unresolved matters.
