Job Description
Job Overview We are seeking a dynamic and extremely organized Administrative Assistant to join our corporate team! In this vital role, you will be the backbone of our office operations, ensuring smooth day-to-day functioning through exceptional organizational skills, technical proficiency, and excellent communication. Your energetic approach will help foster a productive environment, support team members, and enhance client interactions. This position offers an exciting opportunity to showcase your administrative expertise while contributing to a vibrant workplace culture. Specific Responsibilities Coordinate conference room reservations as needed.
- Draft, proofread, and send professional correspondence including emails, memos, and formal business letters.
- As indicated, assist with preparation of meeting agendas, note taking, and distribution of minutes.
- Handle incoming calls, direct inquiries to the appropriate departments, and manage voicemails.
- Coordinate onboarding logistics for new hires.
- Assist with scheduling quarterly and annual employee training sessions.
- Assis with the maintenance of employee files.
- Order and track office supplies.
- Assist with the maintenance of financial files as needed.
- Provide other administrative support as needed.
Communication Skills:
Decision - making skills to work autonomously and manage specific tasks. Communication and collaboration skills. Superior organization skills required. Familiarity with data entry software such as Excel Sheets. Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools. Excellent computer literacy with the ability to quickly adapt to new software applications. Experience with multi-line phone systems and phone etiquette to handle high-volume calls efficiently. Consults with CEO and Executive staff when knowledge base in a given area needs to be explained. Strong organizational skills with keen attention to detail for proofreading and document accuracy. Ability to manage time effectively in a fast-paced environment while prioritizing tasks efficiently.SUPREME LIVING'S EXPECTATIONS OF EMPLOYEES
