Job Description

Job Overview We are seeking a professional and motivated Office Secretary to join our team at our Seattle dealership. The ideal candidate will be responsible for answering the phone and intaking customers for sales/service, maintaining and filing all business paperwork, building a weekly schedule for pick ups/deliveries, and assisting in writing service estimates/invoices. This candidate will have a large role in customer service and operations coordination. This role requires a detail oriented individual who can manage multiple open tasks at once and is proactive in outlining/scheduling to maximize output. Job Responsibilities Manage dealership landline, filtering customer requests between sales, service, parts, and warranty. Optimize dealership output by scheduling customer deliveries once builds or repairs are complete. Communicate delivery schedule with customers and staff. File all paperwork submitted by the sales team and submit time-sensitive documents when appropriate. Manage service writing and billing software for the service center. Work in tandem with Seattle Technician to quote accurate labor hours and parts needed. Oversee part & warranty orders, keeping track of order #'s and allocating items per customer as shipments arrive in the mail. Responsible for opening and closing the dealership office from 8am to 4pm M-F. Skills & Requirements Must be a legal US Citizen. Must have a valid US Driver's license. Proven experience in operations management with a strong track record of meeting or exceeding targets. Strong detail-oriented decision making skills. Must be organized and proficient in achieving optimal output on a daily basis. Experience in customer service and understanding and sorting customer needs effectively. Familiarity excel spreadsheets & invoicing softwares. Excellent communication and interpersonal skills, enabling effective relationship-building with clients.
