Job Overview:
We are seeking an experienced Administrative Services Assistant to provide high-level administrative and confidential support to management and staff within a fast-paced operations organization. This role requires strong organizational skills, attention to detail, excellent communication, and the ability to manage multiple priorities, schedules, documentation, and time-sensitive administrative processes. The ideal candidate will be highly proficient with Microsoft Office, SharePoint, Outlook, and administrative tracking systems, with experience supporting managers in a professional or government/regulated environment.
Key Responsibilities:
Provide confidential administrative and clerical support to managers and staff. Manage calendars, schedules, meetings, conferences, training, and related logistics. Draft, edit, proofread, and format correspondence, documents, presentations, and reports using Word, Excel, PowerPoint, and Adobe Acrobat. Create and maintain Excel spreadsheets, PowerPoint presentations, trackers, and SharePoint content. Track action items, deadlines, training, personnel activities, and other time-sensitive requirements. Prepare meeting agendas, materials, notes, and minutes as needed. Serve as a liaison between management, employees, HR, IT, security, safety, facilities, and other internal organizations. Support onboarding, employee changes, training, recognition, performance documentation, and personnel-related administrative processes. Coordinate domestic and international travel arrangements and process travel documentation using Concur or similar systems. Maintain SharePoint sites, document repositories, calendars, tracking lists, and organizational records. Coordinate office moves, equipment requests, supplies, facilities needs, and other administrative services. Qualifications Strong administrative, organizational, and time-management skills. Excellent written and verbal communication skills. Advanced proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Acrobat. Strong SharePoint experience, including maintaining sites, document libraries, calendars, lists, and tracking systems. Experience managing calendars, meetings, travel, training, records, and multiple competing priorities. Ability to handle confidential information with discretion. Strong attention to detail and follow-through. Ability to work independently while collaborating effectively with managers and staff. Additional Information Full-time contract assignment. On-site in Spokane, WA, 5 days per week. Up to 5% travel may be required for meetings and training. Approximately 10% overtime is anticipated. No on-call requirement. Position involves supporting a fast-paced operations environment where priorities may change quickly.
Pay:
$35.00 - $38.00 per hour Expected hours: 40.0 per week
