Bob's Heating & Air Conditioning is hiring for the position of Front Desk Administrative Assistant. As our Front Desk Administrative Assistant, you will represent the company and serve as the first point of contact for our guests, homeowners, clients, and business partners. You will play an important role in creating a welcoming, professional experience while also supporting the day-to-day administrative needs of the team. This position is ideal for someone who enjoys a fast-paced environment, takes pride in staying organized and keeping things running smoothly, and is comfortable being involved in all aspects of the business. From greeting guests and coordinating deliveries to maintaining accurate homeowner records, completing registrations and paperwork, managing office supplies, and supporting internal teams, you will be a key resource to both our customers and team members. The ideal candidate is proactive, detail-oriented, dependable, and willing to jump in wherever needed to support the success of the team.

This position requires strong communication and customer service skills, along with the ability to confidently interact with homeowners, clients, vendors, and team members at all levels. The ideal candidate is a self-starter who can manage multiple priorities, meet deadlines, and maintain accuracy while handling administrative tasks, data entry, documentation, and inventory. You are dependable, adaptable, and proactive, with a professional demeanor and a commitment to keeping operations organized and running smoothly. Strong computer skills, excellent follow-through, and a "team first" mindset are essential to success in this role. Competitive base wage of $21.00 - $23.00/hr, DOE Medical/Dental/Vision/Life benefit package for team members and family Short-Term Disability and Long-Term Disability optional benefit 401K plan with a match of 50% of the first 4% Paid Time Off (PTO) Team members will accrue 80 hours of PTO in their first year Six (6) paid holidays Responsibilities include: Ensure mailroom and conference rooms are clean and organized Process all outgoing mail daily, sign for deliveries and deliver to appropriate team member Greet all incoming clients and walk-in homeowners Keep team members informed of their guests arrival Update list of new homeowners from builder reports and register equipment with vendors in homeowner's name Ensure equipment is registered with vendors within set deadlines Complete registration into filter program Work with New Construction Customer Service team for serial and model number information Enter all digital photo's into the appropriate file per homeowner Complete the retrofit job paperwork in database and set up "next actions" File paperwork Register all equipment installed by Retro dept Complete needed forms, email to homeowners and complete data entry Keep inventory of stationary supplies and work with vendor to replenish as needed Letterhead Service invoices, Stickers, Sales Literature & White folders Sticker, Retro info pkt. & BNC Info Pkt. Plastic bags for packets Responsible for sticker & information packets for New Construction trimEducation:
High school diploma or equivalent Skills and Qualifications Requirements include: Adapt to changes and shifting priorities Self-starter that takes ownership of role and responsibilities while managing time effectively Ability to support and work as part of a team Professional Demeanor and Strong Customer Service skills Proficient Computer skills: Microsoft Word, Advanced Excel, and Outlook Strong attention to detail, project management and organizational skills Excellent communication skills Comfortable interacting with all levels of team members within the company and its outside clients and partners Ability to perform in office, moderate to loud noise level, occasional lifting up to 30 lbs.Requirements:
