Job Description

Overview:
Provides clerical and administrative support to the assigned practice area. Additionally is responsible for assisting with mail procedures, stocking workstations, acting as a backup for reception, and completing special projects as assigned by Staff Supervisor.
Responsibilities:
Utilizes firm software to perform various administrative functions including but not limited to: Opening files Preparing file folders Entering attorney time for billing Scheduling meetings/appointments Uploading documents Transcribing dictation Scanning, saving, and uploading signed documents Requesting medical records and monitoring receipt Sending and receiving various correspondence Ensures outgoing mail is accurately weighed and posted in accordance with postal regulations, processes outgoing overnight items, i.e. Federal Express, UPS, etc., to meet client and attorney deadlines. Maintains records of mail volume and shipping costs and recommends most efficient shipping procedures to staff. Acts as back up to Receptionist as needed, answering phone, greeting guests, monitoring calendars to ensure conference rooms are clean and ready for meetings, receiving, sorting, and distributing all incoming mail & packages within established time frames. Runs errands throughout the day as needed to post office, other Firms, courthouses, Menn branches, supply vendors, etc. Stocks all Appleton work stations daily to ensure paper and other supplies are adequately filled. Participates in departmental project teams and task forces designed to streamline workflow and/or resolve issues; assists with various firm and/or departmental projects and initiatives as assigned.
Knowledge and Skills:
High School Diploma required. 3-5 years of experience in an administrative role requiring the ability to maintain professionalism and confidential information. Experience in the legal industry preferred but not required. Proficiency in Microsoft Office products, most notably Excel. Skilled in handling confidential business matters and information with discretion. Excellent organizational and communication skills along with a strong attention to detail required. Must be able to work in a high-intensity, highly fluid, and fast-paced environment; independent work management required.
