Job Description

Elementary Administrative Assistant The School District is seeking a highly organized, dependable, and personable individual to serve as an Elementary Administrative Assistant . This position plays an important role in the daily operation of the elementary school and serves as a primary point of contact for students, families, staff, and visitors. The successful candidate will demonstrate excellent communication and human relations skills, strong attention to detail, confidentiality, professionalism, and the ability to manage multiple responsibilities in a busy school environment.

7:30 a.m.-4:00 p.m., with a 30-minute unpaid lunch
Work Year:
All student attendance days, plus approximately two weeks before and after the school year Qualifications High school diploma or equivalent required Strong written and verbal communication skills Excellent interpersonal and customer-service skills Strong organizational skills and attention to detail Ability to maintain confidentiality and demonstrate high ethical standards Proficiency with computers, copiers, telephones, and general office equipment Experience with Microsoft Word and Excel Experience with Google Workspace for Education, including Google Docs and Drive Experience with Skyward student information software or willingness to learn (training is available) Ability to work effectively and professionally with students, families, staff, and community members Key Responsibilities The Elementary Administrative Assistant will perform a variety of responsibilities in support of students, families, staff, and school operations, including: Serve as a welcoming first point of contact for students, families, staff, visitors, telephone calls, and email communications. Monitor visitor admission to the building in accordance with school safety procedures. Maintain student attendance records and communicate with families regarding absences, illness, transportation, dismissal plans, and student safety. Maintain student records and assist families with enrollment, registration, and required forms. Support communication and attendance procedures for the regular school day, after-school programming, and summer school. Prepare correspondence, reports, spreadsheets, newsletters, handbooks, certificates, and other school materials. Maintain paper and electronic records and assist staff with data entry, printing, and distribution of report cards and other materials. Assist with parent-teacher conferences, 4K registration and orientation, annual registration, picture day, and other school events. Maintain building-level social media accounts as directed. Assist with bus transportation routing and reporting. Assist substitute staff with building access, room locations, keys, and other needs and arrange short-term substitutes when necessary. Collect and document lunch account payments and miscellaneous student fees. Maintain daily lunch counts and communicate information to food service staff. Order office supplies and maintain copier supplies and other necessary office materials. Sort and distribute district and postal mail. Maintain documentation related to district bus routes, communicate transportation changes, and assist with the annual transportation report. Provide medication and basic first aid to students as needed in the absence of the school nurse and maintain appropriate records. Assist with urgent and emergency communications. Perform other duties as assigned.
