This is a temporary seasonal position expected to begin in November and conclude in late December, based on business needs. The schedule is Monday through Friday from 7:00 a.m. to 3:30 p.m.; however, hours may extend beyond the regular shift, and occasional weekend work may be required to support operational demands during the peak season. ResponsibilitiesProvide administrative support to Distribution Center employees and the management team to ensure efficient day-to-day operations.
Greet visitors, vendors, and guests in a professional manner and direct them appropriately.
Answer, screen, and route incoming phone calls to the appropriate individual or department, ensuring messages are communicated accurately and promptly.
Exhibit professional and courteous communication in person, over the phone, and through email.
Maintain facility security by following established visitor management and safety procedures.
Create, maintain, and organize Distribution Center records, files, and documentation.
Prepare, maintain, and update miscellaneous reports, spreadsheets, and tracking documents.
Collate, sort, and distribute incoming mail and packages.
Coordinate office and facility supply orders and maintain adequate inventory levels.
Ensure the reception area and other administrative workspaces remain organized and presentable.
Assist with special projects, employee communications, and other administrative duties as assigned.
Maintain the highest level of confidentiality when handling employee, operational, financial, and business-related information.
Support a positive and professional environment for employees, visitors, and business partners.
Fluent in both English and Spanish, with strong verbal and written communication skills in both languages.
Excellent professional communication skills, including phone etiquette and customer service.
Strong proficiency in Microsoft Office applications, including Word, PowerPoint, and Excel.
Ability to prioritize and manage multiple tasks in a fast-paced environment.
Strong organizational skills and attention to detail.
Ability to work effectively with employees at all levels of the organization, as well as visitors, vendors, and external partners.
Ability to exercise sound judgment and make decisions independently when appropriate.
Ability to maintain strict confidentiality with sensitive information, including employee, financial, and business data.
Ability to remain calm under pressure and effectively manage challenging or time-sensitive situations.
Commitment to maintaining a safe and professional work environment. Preferred QualificationsPrevious experience supporting warehouse, distribution, manufacturing, or operations environments preferred.
Experience maintaining records, reports, and data in Microsoft Excel preferred.
