Elkhorn, WI Position Summary The Reception & Engagement Coordinator plays a dual role in shaping the employee experience and providing front-line support to the organization. This position serves as the first point of contact for employees, visitors, and vendors while also leading initiatives that promote recognition, engagement, and a positive workplace culture. The ideal candidate is highly approachable, detail-oriented, and able to balance administrative tasks with creative program execution. Key Responsibilities Reception & Administrative Support (70%) Serve as the primary point of contact at the front desk, greeting employees, applicants, and visitors in a professional and welcoming manner. Answer and route incoming calls, monitor the reception email inbox, and respond to inquiries promptly. Maintain a tidy and professional front office and reception area. Handle incoming/outgoing mail, packages, and deliveries. Assist HR and other departments with scheduling, meeting preparation, and general administrative support. Maintain office supplies, coordinate vendor services (e.g., coffee, supplies, maintenance), and ensure shared spaces are organized. Support internal teams with administrative tasks such as filing, data entry, scheduling interviews, and maintaining employee directories. Employee Engagement & Culture (30%) Coordinate monthly attendance and recognition programs, including eligibility reports, supervisor validation, and prize/raffle preparation. Plan and execute company events (holiday parties, employee appreciation days, service anniversaries, wellness initiatives, team-building activities). Partner with HR leadership to design and deliver engagement surveys, track participation, and present findings. Manage internal communications Collaborate with managers and supervisors to identify opportunities to improve morale and engagement. Maintain budget for engagement programs, track spending, and ensure cost-effective execution. Track participation, provide feedback to leadership, and recommend improvements for engagement initiatives. Other Duties Act as a trusted ambassador of company culture and core values. Provide backup support to HR team members as needed. Perform additional administrative or project-based tasks as assigned. Qualifications High school diploma or equivalent required; associate or bachelor's degree in HR, Communications, or related field preferred. 1-3 years of experience in reception, customer service, HR, or office coordination. Strong interpersonal and communication skills; approachable and professional demeanor. Creative thinker with the ability to plan engaging activities and events. Highly organized, able to manage multiple priorities, and attentive to detail. Proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable learning HRIS or communication platforms.
