Job Description

Craftco Metals Services is seeking an organized, positive, and adaptable Administrative Assistant to support our leadership team, office staff, and manufacturing operations. This position will primarily support Craftco, with some administrative support provided to our affiliated company, Trebro Manufacturing. This is a varied, hands-on role for someone who enjoys wearing multiple hats and helping a team stay organized. Responsibilities may include ERP data entry, document management, accounting backup, recruiting and employee support, safety and training administration, event planning, receiving and shipping support, and special projects. The ideal candidate will be a self-starter who can work fairly independently, take ownership of assignments, and follow tasks through to completion. This person must also be comfortable receiving direction from multiple members of the leadership team, balancing changing priorities, communicating progress, and asking for clarification when needed. Primary Responsibilities Administrative and ERP Support Enter, update, and maintain accurate information in JobBoss² and other company systems. Maintain part information, stock codes, GL codes, international shipping codes, and other business records. Combine drawings and supporting documents into organized print packages and upload prints, specifications, and job documentation into the ERP system. Maintain electronic and physical files, forms, binders, and company records. Assist with general data entry and administrative projects for Craftco and Trebro. Order and maintain office, breakroom, and other routine company supplies. Leadership and Team Support Provide administrative support to the Craftco leadership team, including the Principal, General Manager, Office Manager, Production Planning Manager, and other company leaders. Assist with calendar coordination, meeting preparation, correspondence, document organization, follow-up items, and special projects. Help leadership organize and track assignments, deadlines, and outstanding action items. Communicate with employees, customers, vendors, and outside organizations on behalf of the company when appropriate. Help improve company organization, communication, employee experience, and workplace culture. Accounting and Office Support Provide backup support to the Office Manager during absences or high-workload periods. Assist with accounts payable, accounts receivable, invoicing, document entry, and recordkeeping. Help verify that supporting documents, coding information, and customer records are complete and accurate. Handle employee, customer, and financial information professionally and confidentially. Recruiting and Employee Support Create and maintain job postings on Indeed, LinkedIn, and other recruiting platforms. Assist with applicant communication, interview scheduling, career fairs, and hiring paperwork. Help new employees locate community, housing, and relocation resources when needed. Assist with employee forms, company programs, and other general HR-related administration. Research and assist with state workforce programs, training reimbursements, grants, and other available business resources. Maintain appropriate confidentiality when working with applicants and employees. Safety, Training, and Compliance Support Assist the leadership team with maintaining company safety protocols, training programs, and related documentation. Coordinate new-hire safety orientation and recurring employee training. Maintain training records and help track required certifications, renewals, and expiration dates. Keep safety policies, forms, inspection records, and other compliance documents current and organized. Help communicate safety requirements and training schedules to employees. Identify missing or outdated records, follow up with the appropriate employee or manager, and support safety meetings and other workplace safety initiatives. Events and Company Activities Help coordinate company meetings, customer visits, employee activities, holiday parties, and other events. Coordinate company apparel, hats, gifts, and promotional items, including gathering employee sizes and selections. Work with caterers, venues, vendors, and community organizations. Help create a positive and engaging experience for employees and visitors. Receiving, Shipping, and Shop Support Support the receiving and shipping team with documentation, data entry, and general coordination. Assist with receiving records, packing slips, shipping documents, and customer inventory records. Help communicate shipment details among internal teams, customers, vendors, and freight providers. Provide additional support during vacations, absences, or high-workload periods. When needed, assist with counting, organizing, labeling, wrapping, and preparing parts for shipment. Previous experience working in or supporting a manufacturing shop-floor environment is a plus. Qualifications Previous administrative, office support, accounting, or operations experience preferred. Strong organizational skills, attention to detail, and the ability to manage multiple assignments and changing priorities. Able to work independently with limited supervision while keeping the appropriate people informed. Willingness to take initiative, solve problems, and follow assignments through to completion. Clear and professional written and verbal communication. Proficiency with Microsoft Outlook, Word, Excel, and Teams, with the ability to learn ERP systems and other business software. Experience with accounts payable, accounts receivable, invoicing, or general bookkeeping is strongly preferred. Experience with JobBoss² or another manufacturing ERP system is helpful but not required. Experience with recruiting, HR administration, receiving and shipping documentation, event planning, or grant applications is beneficial. Experience maintaining employee training records, safety documentation, or workplace compliance programs is a plus. Manufacturing, logistics, industrial office, or shop-floor experience is a plus. Physical and Work Environment Ability to work in both an office and manufacturing environment. Ability to stand, walk, bend, reach, and move between office and shop areas. Ability to lift and carry up to 50 pounds and occasionally assist with items weighing up to 75 pounds. Ability to use appropriate personal protective equipment when entering designated shop areas.
