Secret Astrion has an exciting opportunity for a Senior Administrative Support to join the ISR/SOF team in our Air Force Division.
REQUIRED QUALIFICATIONS / SKILLS
High School Diploma and 5 years in similar role with 3 of those years in DoD Must be a US citizen with an active US secret security clearance.
RESPONSIBILITIES
The Contractor will assist in a wide range of administrative support services for programs managed by the
AFLCMC/WI
directorate staff. The Contractor will provide administrative support to the front office group, organizational senior functionals, program and management operations. The Contractor will support Government requirements for internal/external briefings and reports by assisting with preparation, scheduling, and coordination of materials such as slides, viewgraphs, briefing charts and other graphics. The Contractor will assist with the administration of calendars, creating meetings, conference room reservations, and conference room configuration. The Contractor will establish and maintain official file plans with the use of Air Force Records Information Management System (AFRIMS). The Contractor will support Government requirements to file and retrieve electronic and/or paper graphics material to facilitate research and expedite creating of briefings and reports. The Contractor will provide assistance during briefings to include compiling and preparing briefings and reports in hard copy for special and/or recurring meetings/events. The Contractor will monitor office supplies and assist with supply lists. The Contractor will provide administrative support to various functional areas including human resources and input information into various management systems such as the Resource Management Information System (RMIS) and Defense Travel System (DTS). The Contractor will assist with monitoring, opening and closing secure areas, conference rooms including secure conference rooms and providing escort to visitors. The Contractor will support the development, editing and production of reports and presentation materials for internal/external customers consistent with Government required formats. Support includes preparation, scheduling, and coordination of materials/resources. The Contractor will provide illustrator services supporting the development of the final style, format, and preparation of the illustrations. The Contractor will assist in operating graphics workstation equipment, scanner equipment, photo reproduction equipment and the associated software. The Contractor will work with the directorate focal point for office supplies to ensure adequate levels of consumable items needed for presentation/graphics. The Contractor will assist the directorate focal point in collecting and visually displaying materials at staff meetings and events. The Contractor will assist in reviewing the content of the directorate electronic workflow mailbox. The Contractor will assist with compiling and integrating data from the Task Management Tool (TMT) or equivalent suspense system into the directorate's SharePoint suspense task tracking system. The Contractor will assist in compiling, formatting, and storing divisional inputs to taskings to support development of the directorate response. The Contractor will assist in transmitting approved responses to specified organizations. The Contractor will assist in verifying format and style against administrative processes and assist in maintenance of a tracking system for identification and correction of deficiencies. The Contractor will develop, plan, execute, and maintain AFLCMC/WI's In-Processing and Out-Processing Program and assist with associated activities. The Contractor will plan, coordinate, and conduct training classes with division focal points, supervisors, and other directorate personnel upon request. The Contractor will assist with in/out-processing actions for the directorate. The Contractor will assist with initiating and updating in/out-processing checklists and associated forms. The Contractor will schedule in-processing appointments for incoming personnel. The Contractor will brief incoming personnel and schedule/coordinate with other in-processing briefers. The Contractor will provide assistance to the divisional defense civilian pay system, in/out-processing and directorate office records manager's focal points. The Contractor will assist with civilian timekeeping data in the automated time attendance and production system, scheduling in-processing appointments, preparing file plans and filing. The Contractor will ensure compliance with applicable administrative guidance to prepare and review correspondence for the division and provide administrative support to the directorate senior functionals, as required. The contractor will assist with compiling, integrating, and responding to divisional taskings generated from the Task Management Tool (TMT) or equivalent suspense management system. The Contractor will assist in servicing the directorate for all incoming/outgoing mail and overnight/express mail package deliveries. The Contractor will assist in tracking the budget for overnight/express mail packages. The Contractor will assist in tracking classified and registered mail. The Contractor will receive, sign for and distribute both classified and unclassified mail. The Contractor will access, store, and handle classified mail, as required. The Contractor will assist with administration of the directorate DTS program. The Contractor will provide customer assistance to directorate DTS focal points and travelers with filing travel orders and vouchers, including the directorate front office group and senior functionals, as required. The Contractor will provide Government Travel Card (GTC) program customer assistance to travelers. The Contractor will assist by disseminating DTS and GTC program alerts and updated guidance to directorate employees. The Contractor will assist in drafting the semiannual historical report for the directorate and operations management division.
