Join our dedicated mental health practice as a Part Time Receptionist and be the welcoming face of compassionate care. In this vital role, you will serve as the first point of contact for clients, providing exceptional patient service while managing administrative tasks seamlessly. Your energetic and organized approach will help create a positive environment where clients feel valued and supported. This position offers an exciting opportunity to contribute to mental health wellness through efficient office operations and empathetic communication. Hours will be Tuesday thru Thursday from 8:30 am-5:30 pm with lunch from 12:15-1:00. Some Mondays will be required but not often. Please expect 24 hours a week to be your normal hours for the week. (The only time extra hours would be required is if the other admin is on vacation or out sick, etc.) Greet clients warmly, ensuring a friendly and professional front desk experience while managing multi-line phone systems with excellent phone etiquette. Schedule appointments, coordinate intake processes, and manage patient flow using electronic health record (EHR) system Simple Practice Verify insurance coverage, perform insurance verification, and handle billing procedures including medical collection activities. Maintain accurate medical records by reviewing documentation, updating care plans, and ensuring compliance with HIPAA regulations for health information management. Assist with medical administrative support tasks such as filing, data entry, and managing electronic medical records (EMR systems) like Simple Practice. Support clinic operations by managing office supplies, organizing files, and ensuring the front desk area remains welcoming and efficient. Demonstrate proficiency in computer skills including Microsoft Office Suite and knowledge of Simple Practice EMR is a plus. Prior experience in a medical or dental office setting, or other receptionist setting. Familiarity with EMR/EHR systems is preferred. Excellent customer service skills with the ability to handle multi-line phone systems and maintain professionalism under pressure. Strong organizational skills with attention to detail in filing, data entry, and appointment scheduling. Experience with the understanding of HIPAA compliance standards. Office experience in a healthcare environment is desirable. Ability to perform typing at 10-key speed and demonstrate good computer literacy across various platforms.
