Job Description

Overview We are seeking a dynamic and personable Front Desk Receptionist to be the welcoming face of our organization. This energetic role involves managing front desk operations, providing exceptional customer service, and supporting office management tasks to ensure a smooth and efficient workplace environment. The ideal candidate will be highly organized, tech-savvy, and capable of handling multiple responsibilities with enthusiasm and professionalism. Duties Greet visitors, clients, and staff warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, answer inquiries, direct calls efficiently, and take detailed messages when necessary Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff and executives Perform data entry, filing, and document proofreading to ensure accuracy and organization of office records Handle clerical tasks such as photocopying, scanning, mailing, and managing office supplies inventory Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing and expense tracking Provide customer support by addressing inquiries professionally via phone or email and maintaining excellent phone etiquette Qualifications Proven experience in office management or administrative roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Strong computer literacy with experience in data entry, proofreading, and document management systems Bilingual abilities are highly desirable for effective communication with diverse clients and team members Previous experience as a front desk or medical/dental receptionist is a plus Exceptional customer service skills with a friendly demeanor and professional phone etiquette Personal assistant or medical receptionist experience is advantageous but not required; training will be provided on specific duties such as calendar management and office procedures Join our team as a Front Desk Receptionist where your positive attitude and organizational prowess will make a meaningful impact every day.
