As one of the first points of contact for our clients, the Receptionist plays an important role in creating a positive experience while helping keep daily office operations organized and running smoothly. This position is ideal for someone who is comfortable in a high-volume phone environment, communicates professionally with people from a variety of backgrounds, and can remain patient and composed when assisting callers with sensitive or emotional situations. Our Reception team works collaboratively to manage incoming calls, assist clients, coordinate schedules, maintain accurate information, and provide administrative support throughout the firm. We are looking for someone who understands the importance of professionalism while also recognizing that clients may be navigating difficult or stressful circumstances. Professional and friendly phone presence. Excellent customer service and interpersonal skills. Ability to remain calm, patient, and professional during challenging interactions. Strong organization and multitasking skills. Attention to detail and ability to accurately document information. Ability to manage multiple priorities in a fast-paced environment. Dependable, punctual, and team-oriented work style. Ability to maintain confidentiality and use discretion when handling sensitive information. Comfortable learning and working with computer systems, office technology, and client-management software. Preferred Qualifications Previous receptionist, front desk, customer service, or administrative experience. Experience working in a law firm, legal office, medical office, or other professional service environment is preferred. Experience handling high-volume incoming calls. Bilingual English/Spanish is a plus. Responsibilities Key Responsibilities  Answer and route a high volume of incoming phone calls in a professional and courteous manner. Assist callers with general questions and direct inquiries to the appropriate team member or department. Provide professional and compassionate service to clients, including individuals who may be frustrated, emotional, or discussing sensitive circumstances. Greet and assist clients and visitors who come into the office. Schedule appointments, meetings, and other calendar-related activities as needed. Accurately enter and update client information within firm systems. Maintain confidentiality when handling client and firm information. Receive, organize, and distribute incoming correspondence and documents. Assist with general office organization and administrative tasks. Communicate effectively with attorneys, case managers, intake staff, and other departments. Recognize when a client concern or request should be escalated to another team member or supervisor. Provide additional administrative support as needed to help maintain efficient office operations.
