DESCRIPTION OF POSITION

Under the direct supervision of the Director of Business Office, the Receptionist/PBX operator is responsible to greet and provide assistance to guests and staff members in person or on the telephone; to distribute mail and messages accurately and in a timely manner; and perform other back-office functions as needed.

KEY RESPONSIBILITIES

: Manage all inbound and outbound telephone communications promptly and courteously. Greet, log, and manage visitor access to ensure security in patient care areas. Address visitor inquiries while strictly maintaining patient confidentiality and HIPAA standards. Relay messages accurately and efficiently to clinical staff and physicians. Sort and distribute incoming mail to designated staff mailboxes daily. Provide clerical support, including word processing, data entry, and special project assistance. Able to handle and facilitate crisis and emergency situations in a calm and professional manner. Assist with back-office/clerical tasks for Utilization Review, Quality Assurance and other assigned departments. Manage meal ticket sales, including recording receipts and securing funds. Process and distribute incoming and outgoing faxes in a timely manner. Scan key clinical and administrative documents accurately for assigned departments. Maintains PBX schedule and is responsible for changes and coverage. Perform other duties as assigned by leadership to support changing department needs, emergency coverage, and daily operational goals.

Minimum Requirements:
Education and Licensing:

High School Diploma or above, preferred. Management of Assaultive Behavior (MAB): Must obtain a current MAB certification by the completion of orientation, and maintain current status throughout employment.

Knowledge and Experience:

Two (2) years or above business office or customer service experience, preferred. Ability to handle stressful situations.

Skills and Abilities:

Maintains a desirable working relationship with staff and their office personnel. Maintaining strict patient confidentiality, managing records securely, and following medical privacy laws. Coordinate multiple tasks simultaneously. Working knowledge of Microsoft Office Suite (Word, Excel, Outlook). Give and follow verbal and written instructions with attention to detail and accuracy.

Physical Requirements :

While performing the duties of this job, this position is frequently required to do the following: Use standard office equipment and access, input, and retrieve information from a computer. Use computer keyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time. Communicate effectively in person or via telephone in a manner which can be understood by those with whom the person is speaking, including a diverse population. Give and follow verbal and written instructions with attention to detail and accuracy. Perform complex mental functions and basic arithmetic functions; interpret complex laws, regulations, and policies; collect, interpret, and/or analyze complex data and information.

Vision:

see details of objects at close range. Coordinate multiple tasks simultaneously. Reach forward, up, down, and to the side. Sit or stand for minimum periods of one hour at a time and come and go from the work area repeatedly throughout the day. Lift up to fifteen (15) pounds.
