Position Summary The Receptionist/Office Assistant plays an important role as the first point of contact for the company by creating a welcoming and professional experience for customers, visitors, and employees. Responsibilities will include answering and directing phone calls, greeting visitors, filing, scanning, and providing general administrative support. The ideal candidate will have a positive attitude, strong communication and organizational skills, and the ability to work effectively in a fast-paced environment. The candidate should be comfortable working both independently and as part of a team, with the ability to manage time efficiently, prioritize tasks, and maintain attention to detail.

Essential job duties and responsibilities:

Greet customers, vendors, applicants, employees, and other visitors in a friendly and professional manner and assist with any questions or requests. Answer and direct incoming phone calls to the appropriate personnel or department. Ensure all visitors sign in at the front desk and provide visitor badges and required safety glasses. Perform general clerical and administrative duties, including filing, scanning, copying, faxing, and other office tasks. Maintain office supplies, including paper products, first aid kits, and other essential items, ensuring they are adequately stocked. Maintain a clean and organized front office, including vacuuming and other general upkeep as needed. Perform other duties and administrative tasks as assigned by the Operations Manager.

Education and work experience:
Education:

Minimum high school diploma or equivalent required Work experience: 1 to 3 years of hands-on administrative experience Knowledge and skills:

Office Equipment:

Experienced with printers, scanners, fax machines, copiers, and multi-line phone systems.

Customer Service & Phone Etiquette:

Professional and courteous when assisting customers, answering calls, taking messages, and addressing inquiries.

Microsoft Office Suite:

Proficient in Word, Excel, and Outlook, for creating documents, managing data, email, and scheduling.

Typing & Data Entry:

Accurate and efficient with typing, data entry and updating information.

Communication Skills:

Strong verbal and written communication skills with coworkers, customers, and management.

Time Management:

Able to prioritize tasks, meet deadlines, and manage multiple responsibilities efficiently.

Detail-Oriented & Organized:

Maintains accurate records, organized files, and a neat and efficient work environment.

Problem-Solving:

Able to identify issues, find practical solutions, and handle routine challenges effectively.

Physical demands:

Primary functions require sufficient physical ability and mobility to work in an office setting, including but not limited to: Prolonged periods of sitting at a desk and working on a computer screen. Frequent typing, scanning, filing, and reading detailed paper and digital records. Occasional standing, walking, bending, and reaching to access filing cabinets. Ability to lift up to 20 lbs (e.g., paper reams, orientation materials, or storage boxes).
