Job Description
W.A.Y.S Homecare & Health Agency is seeking a dependable, organized, professional, and compassionate Front Desk/Receptionist to support the daily administrative operations of our agency. This position is primarily responsible for front desk and administrative duties, including answering phones, assisting visitors, communicating with caregivers and clients, maintaining records, and supporting agency staff with day-to-day office operations.
Respond to general phone and email inquiries and direct questions to the appropriate staff member. Assist with caregiver and client communications. Contact caregivers regarding scheduling, availability, shift coverage, and other staffing needs. Assist with filling open shifts and communicating schedule changes to appropriate team members. Maintain organized electronic and physical client and employee records. Assist with caregiver onboarding and collection of required employment documentation. Track required employee documents, certifications, and expiration dates. Assist with filing, scanning, copying, uploading, and organizing documents. Help maintain calendars, appointments, meetings, and office schedules. Assist management and coordinators with general administrative projects as needed. Follow HIPAA requirements and agency confidentiality policies. Backup Caregiver Responsibilities When emergency coverage is needed, the employee may be assigned to provide direct support to a client based on the client's individualized care plan and service needs.
Providing medication reminders and other approved non-medical support. Assisting clients with maintaining their daily routines. Providing companionship, supervision, and meaningful engagement.
Supporting individuals with intellectual and developmental disabilities. Assisting clients with community activities, appointments, errands, and outings. Supporting clients in developing and maintaining independent living skills. Assisting with light housekeeping directly related to client care, including dishes, laundry, making beds, and maintaining the client's immediate living area. Providing transportation when required by the client's service plan and assignment. Following the client's individualized service plan and all agency policies and procedures. Completing required caregiver documentation accurately and on time. Reporting changes in a client's condition, behavior, needs, or environment to the appropriate supervisor.
IMPORTANT
This position also requires the employee to serve as aBACKUP CAREGIVER/DIRECT SUPPORT PROFESSIONAL
(DSP)AS AGENCY NEEDS ARISE.
This may include providing direct client care and covering shifts due to caregiver call-outs, unexpected staffing shortages, emergencies, or other agency coverage needs. Applicants must be comfortable and willing to provide direct care when requested. Receptionist & Administrative Responsibilities Answer and direct incoming phone calls professionally and courteously. Caregiver responsibilities may include:
Providing temporary coverage when a regularly scheduled caregiver calls out or when emergency staffing needs arise. Assisting clients with Activities of Daily Living (ADLs) as required by their individual care plan. Assisting with bathing, dressing, grooming, toileting, and personal hygiene when applicable. Providing meal preparation and assistance with meals and snacks.Providing medication reminders and other approved non-medical support. Assisting clients with maintaining their daily routines.
