Job Description
Position Summary We are seeking an organized and dependable Transaction Coordinator/Receptionist to support our real estate office. This position combines front-office responsibilities with transaction coordination for leases, business sales, and real estate transactions. The ideal candidate has experience processing real estate files, understands California Association of
REALTORS
® (C.A.R.) forms, and can professionally communicate with clients, agents, brokers, escrow officers, title representatives, and lenders. Compensation and Benefits $24-$26 per hour, depending on experience 10 paid vacation days per year 40 hours of paid sick leave per year Additional per-file processing compensation: $300 for each lease transaction $400 for each business transaction $500 for each real estate sale transaction Responsibilities Answer incoming calls, take messages, greet visitors, and maintain a professional front-office environment. Assist agents and brokers with real estate, business, and lease transactions. Prepare and process C.A.R. forms, disclosures, offers, counteroffers, listing agreements, and related documents. Maintain transaction files, deadlines, contingency dates, and required documentation. Coordinate with escrow, title, lenders, cooperating agents, clients, inspectors, and other parties. Schedule inspections, appointments, meetings, and transaction-related activities. Gather due-diligence documents and information from sellers and clients. Post and update listings on the MLS, LoopNet, the company website, and other platforms. Prepare and update marketing packages for new and active listings. Manage and update the company's client database and lead-management system. Assist with email marketing campaigns and quarterly newsletters. Maintain organized electronic and paper filing systems. Perform general administrative duties, including scanning, copying, emailing, mailing, and filing. Assist with office supplies, deliveries, and other project-based work. Qualifications Working knowledge of C.A.R. forms and California real estate transactions is required. Previous experience as a transaction coordinator, real estate processor, or real estate office assistant is preferred. An active California real estate license is preferred but not required. Knowledge of the MLS and the real estate listing, sales, and leasing processes. Strong organizational skills and attention to detail. Ability to manage multiple transactions, priorities, and deadlines. Professional written and verbal communication skills. Proficiency with Microsoft Word, Excel, email, and general office software. Ability to work independently, take initiative, and learn new systems quickly. Dependable, professional, and comfortable working in a fast-paced office.
