In this important role, you will serve as one of the first points of contact for our patients and help ensure an efficient and welcoming experience from check-in through check-out. The Front Desk Receptionist is responsible for providing excellent customer service while supporting the daily administrative operations of the practice. This position requires strong communication, organization, attention to detail, and the ability to manage multiple responsibilities in a fast-paced medical office environment. The ideal candidate is professional, dependable, patient-focused, and comfortable working with physicians, clinical staff, audiology staff, patients, insurance companies, and outside medical offices. Duties Greet patients professionally and provide a welcoming front-office experience Check patients in and out for scheduled appointments Verify and update patient demographics, insurance information, contact information, and required documentation Collect copayments, balances, and other patient payments as applicable Answer and manage incoming telephone calls professionally and efficiently Schedule, reschedule, and cancel patient appointments according to provider scheduling guidelines Manage multiple provider schedules while ensuring appointments are scheduled appropriately Assist patients with general scheduling, registration, and appointment-related questions Verify insurance eligibility and benefits when required Review patient accounts and identify missing insurance, referral, authorization, or demographic information Confirm referrals and authorizations are available when required before scheduled appointments Scan, upload, and properly route medical records, referrals, insurance documents, and other patient information Maintain accurate patient information within the Electronic Health Record (EHR) system Communicate with physicians, medical assistants, audiology staff, surgery scheduling, and other departments regarding patient needs Route telephone messages and patient requests to the appropriate staff member or provider Assist with incoming faxes, medical records, and other front-office correspondence Monitor the reception and waiting areas and maintain a clean, organized, and professional environment Protect patient confidentiality and comply with HIPAA requirements at all times Follow established office policies, procedures, and patient service standards Assist with additional administrative and front-office duties as assigned by management Requirements Previous medical front desk, medical receptionist, or medical office experience preferred Experience working in an ENT, specialty medical practice, or other outpatient healthcare setting is highly desirable Experience with Epic or another Electronic Health Record (EHR/EMR) system preferred Knowledge of medical terminology and basic medical office procedures Experience with patient registration, scheduling, insurance verification, and medical records Familiarity with referrals, authorizations, PPO, HMO, Medicare, and other insurance plans is preferred Strong customer service and interpersonal skills Excellent verbal and written communication skills Professional and courteous telephone etiquette Strong attention to detail and ability to maintain accurate patient information Ability to multitask and prioritize responsibilities in a busy medical office Ability to communicate professionally with patients, providers, coworkers, insurance representatives, and outside medical offices Ability to handle confidential and sensitive patient information appropriately Dependable attendance and punctuality Comfortable working independently while also contributing as part of a healthcare team High school diploma or equivalent required Preferred Qualifications Previous experience working in an Ear, Nose & Throat (ENT) practice Previous experience using Epic Experience with insurance eligibility verification and patient benefits Experience working with referrals and prior authorizations Experience supporting multiple physicians or advanced practice providers Knowledge of specialty medical scheduling and referral workflows What We're Looking For We are looking for someone who is friendly, organized, dependable, and able to maintain professionalism in a fast-paced medical environment. Pay:
