MUST HAVE EXPERIENCE
Position Overview We are seeking a professional, organized, and customer-focused Receptionist to support a fast-paced office environment within an e-commerce and product-driven organization. This position will serve as the first point of contact for the office while also providing administrative support to E-Commerce, Sales, Marketing, Production, Design, and QA teams. The ideal candidate will be comfortable working in a dynamic environment where attention to detail, organization, and follow-through are essential. In addition to managing the front desk, this role will assist with product samples, shipments, inventory tracking, data entry, and day-to-day administrative tasks that support e-commerce and overall business operations. Key Responsibilities Greet visitors, vendors, and delivery personnel while creating a welcoming and professional office environment. Answer and direct incoming phone calls with professionalism and efficiency. Manage conference room scheduling and assist with meeting coordination. Receive and distribute incoming mail and packages, approximately 3-5 inbound shipments per day. Prepare and coordinate outbound shipments for Sales, Marketing, Production, and Design teams, approximately 5-10 shipments per day. Maintain accurate records of incoming and outgoing product sample inventory. Keep the reception area, conference rooms, kitchen, and shared spaces clean, organized, and presentation-ready. Order and maintain office, kitchen, and general business supplies while monitoring inventory levels. Assist with data entry and administrative support for E-Commerce, Sales, QA, and other departments. Support the organization and movement of product samples used by internal teams. Run occasional business errands and assist with special projects as needed. Provide day-to-day administrative support to help ensure a productive, organized, and efficient workplace. Assist with other office and e-commerce-related tasks as needed. Qualifications Previous experience in reception, office administration, administrative support, or a similar role within the e-commerce industry. Bilingual English and Spanish preferred. Proficiency with Microsoft Office, including Excel, Word, and Outlook. Strong organizational and multitasking skills. Excellent verbal and written communication skills. Professional, friendly, and customer-focused demeanor. High attention to detail and strong follow-through. Ability to prioritize multiple responsibilities in a fast-paced environment. Self-motivated with a proactive, team-first attitude. Comfortable working with multiple departments and shifting priorities. Ability to handle product samples, shipments, and inventory records accurately.
