About Us:
We are a small FAST-paced, client-focused workers' compensation law firm dedicated to advocating for injured workers. Our team values professionalism, organization, and strong communication to provide excellent service to our clients.
Position Overview:
We are seeking a reliable and detail-oriented Receptionist / Mail and Calendar Clerk to be the first point of contact for our office while also managing critical scheduling functions. This role is ideal for someone who thrives in a structured environment and can balance administrative support with calendar management responsibilities.
Key Responsibilities:
Answer and direct incoming phone calls in a professional and courteous manner Respond to client text messages in a timely manner Greet clients and visitors, ensuring a welcoming office environment Manage attorney calendar, including scheduling hearings, depositions, client calls, and medical appointments Send appointment notices to clients and appropriate parties Track deadlines and maintain accurate calendaring of court dates and filing deadlines Coordinate client telephone appointments and provide timely reminders Maintain and update the case management system with appointment and calendar entries Handle incoming and outgoing mail, emails, and faxes Open, sort, and upload incoming mail; scan documents and utilize AI software to properly name each document. Prepare outgoing mail and ensure it is delivered to the post office at the end of each day Assist with general administrative tasks, including preparing treatment appeal applications, requesting medical records and diagnostic reports, and following up with defense counsel on case-related matters
Qualifications:
Fluency in English and Spanish required Prior experience in a law firm or administrative role preferred (applicant workers' compensation experience is a plus) Strong organizational skills and attention to detail Ability to manage multiple tasks and meet deadlines Excellent verbal and written communication skills Proficiency in Microsoft Office (Outlook, Word) Experience with legal case management software is a plus Professional demeanor and strong customer service skills
Schedule:
Monday to Friday, 8:00 AM - 5:00
PM Pay:
$25.00 per hour
