Administrative Assistant / Front Desk Coordinator Maestro Stars Academy Cupertino, CA Job Details Part-time | Contract $25 - $30 an hour 1 day ago Benefits Employee discount Flexible schedule Referral program Qualifications Google Workspace Interpersonal skills Experience working with children Attention to detail Working with students Full Job Description Responsibilities Welcome students, families, and visitors with a friendly, professional attitude Serve as the primary front desk representative and create a warm, welcoming environment for every family Answer phones, emails, and text messages promptly and professionally (usually within core business hours, but may require occasionally outside hours) Schedule and coordinate private lessons, group classes, appointments, and academy events Assist families with registration, enrollment, and general questions Maintain accurate student records and scheduling systems Prepare and organize administrative documents and communications Assist with marketing initiatives, including creating and scheduling social media posts, updating promotional materials, and supporting community outreach Help coordinate recitals, open houses, camps, and other academy events Communicate with teachers, students, and parents regarding schedules and academy updates Keep the front office and school rooms organized, welcoming, and running efficiently Provide general administrative support wherever needed to help the academy operate smoothly Qualifications Excellent customer service and interpersonal skills Strong verbal and written communication abilities Highly organized with exceptional attention to detail Able to manage multiple priorities in a fast-paced environment Comfortable learning and using scheduling and office software Proficient with Microsoft Office and/or Google Workspace Basic social media experience is required (Facebook, Instagram, Canva, etc.) Professional, dependable, and punctual Positive and flexible attitude with a willingness to help wherever needed Preferred Qualifications Previous administrative, receptionist, front desk, or customer service experience Experience working in education, music schools, tutoring centers, childcare, or similar environments Experience with scheduling software or CRM systems is a plus
