The Front Desk Coordinator role is vital to our practice, patients and our Team. This role provides the first impression the patient has of Elite MD. It maintains an atmosphere of professionalism for the patients and makes ALL patient experiences "Raving Fan" quality. It is imperative to prioritize patient safety and wellbeing at all times. This position requires a dynamic personality, positive energy and a "solution oriented" way of thinking.
Your skillset:
Nextech User at an Advanced Level , Prior MedSpa, Dermatology or Plastic Surgery Experience, Independent Self Starter, Excellent Verbal Communication Skills, Professional Writing Style, Able to Maintain Detailed Notes and EMNs.
Full Job Description:
Greeting patients: Maintain a professional environment in the patient waiting area Greet each patient and visitor as they arrive at the practice with a welcoming and sincere approach. Be comfortable talking to patients about the Elite MD way and how we can serve them Be a natural at talking with patients about products and services Be comfortable with making conversation and maintaining relationships with patients and staff Verify they are in the correct location for their requested service Check-In and Check-Out the patients into Nextech with a Sincere Giant Smile Provide New Patient paperwork to be completed in office or assist with our On-Line portal Answer calls from patients that will flow through our Call Center Advise patients of their current wait time to be roomed and offer water or coffee. Offer a solution, talk with them, bring in the Office Manager to meet and greet them, update them throughout their wait times. Be comfortable with your body language and stand tall as a representative of your confident self and Elite MD. Glow! Shine! Have Confidence! Be Aware of your surroundings! Know how to answer questions and find the answer. Be creative in your thinking! Comfort patients by anticipating patients' anxieties, answering patients' questions, know how to be relatable and understanding Maintains a customer service-oriented mindset and promote a positive environment all through the practice Ensure reception services are provided in accordance with HIPPA compliance in mind Ensure reception, Consult and Treatment Rooms and waiting areas are kept presentable at all times. Always walking the reception floor, checking the Treatment and Waiting Areas after each patient. "Air Traffic Controller, know where the providers are, the Patient Coordinators, the Medical staff Be a Dynamic Team Player. Be willing to roll up your sleeves and get the work done Ensure conference room schedule is accurate, prepare and maintain a meeting schedule for the conference room Be an Absolute Excellent Communicator at all times Follow-Through on Projects Check in/out with your Manager and Team Maintains patient flow, reminds provider of service delays, and keeps waiting and reception area running smoothly Schedule post-ops and follow up appointments as patients check out and coordinate patient appointments to optimize patient satisfaction and facility efficiency
Administrative Duties:
Review the next day schedule with the Office Manager each evening to ensure we have appropriate coverage of clinical staff and no schedule conflicts Voice any potential patient concerns before they arise. Be a forward-thinker. Open the Clinic each morning. Provides end of day report to Office Manager regarding any failures and/or issues throughout the day Fields telephone calls from the Patient Support Center (PSC), post op & follow up patients, or other callers who call into the practice Scan New Patient paperwork into the patient file Book transportation for patients when requested Conducts financial transactions through processing payments for upcoming surgeries, Reservation Fees etc. DFA's Monitor Patient Medical Record requests to be certain we meet the 2 week deadline as noted by law Positive Peer support to other practice staff Promote, monitor and participate in all quality improvement activities offering suggestions on how the quality of service can be improved Update electronic health records with patient demographic information in a timely manner
