As the first point of contact for visitors, clients, and employees, you will play a key role in creating a welcoming and professional office environment. This position is responsible for managing front desk operations, answering multi-line phones, providing administrative support, coordinating office activities, and assisting with daily business operations. The ideal candidate is dependable, detail-oriented, able to multitask, and thrives in a fast-paced environment. Responsibilities Greet and assist visitors, clients, and vendors in a friendly and professional manner. Answer and direct incoming calls using a multi-line phone system. Receive, sort, and distribute incoming mail and deliveries. Manage office email inquiries and respond or route messages appropriately. Schedule appointments, meetings, and conference rooms as needed. Perform data entry, filing, scanning, and document preparation. Maintain office supplies and place orders when inventory is low. Assist with administrative tasks for Accounting, Human Resources, and Management. Prepare correspondence, reports, and other business documents using Microsoft Office. Maintain organized electronic and paper filing systems. Support special projects and other administrative duties as assigned. Qualifications High school diploma or equivalent required; Associate degree preferred. Minimum of 2 years of receptionist or administrative assistant experience. Proficient in Microsoft Office (Word, Excel, Outlook). Experience with QuickBooks is preferred but not required. Excellent verbal and written communication skills. Strong organizational and time management skills. Ability to prioritize multiple tasks while maintaining accuracy and attention to detail. Professional appearance and positive attitude. Excellent customer service and interpersonal skills. Reliable, punctual, and able to work independently as well as part of a team.
