This individual is essential to the admissions team and the first person student interact with when calling and walking in the door. The right candidate must have a passion for diverse populations and education, and must be able to multi-task in a high energy work environment. Customer service is our highest priority, therefore, you must be able to handle (with a smile, flow and grace) difficult students as well as our very happy students! This position requires exceptional customer service skills, attention to detail and strong computer skills. It is our priority to provide a pleasant and helpful experience for each of our students and our front office receptionist is extremely instrumental to this. Main duties include, but are not limited to: answering phones, scheduling/confirming appointments, conducting telephone health screens for all appointments, following up with students, calling absent students, social media management, taking and uploading photos and videos, assisting admissions with paperwork and ensuring files are complete, responding to emails, handling and resolving issues with students, updating and loading laptops for students, distribution of supplies and equipment to students, setting up orientations and handling all aspects of monthly orientations for students, communicating with staff and management, assisting in planning events, assisting in social media, maintaining a clean and tidy admin office and classrooms, scanning and uploading documents, and other tasks as assigned. The ideal candidate will be comfortable working with a team and is able to complete all tasks throughout the day with minimal supervision (we don't want someone that needs hand-holding and micromanaging). This person is comfortable working in a fast-paced, high energy environment with a positive attitude. We encourage this person to take control of their position and encourage ideas to make the office more functional and efficient! We are looking for someone with a minimum of 2 year experience in managing a front office. Knowledge of programs is required, however, we will also train the right candidate on all we offer here. This is a full-time position, hours are Monday-Friday and possibly some half-days on Saturdays.
REQUIREMENTS
at least 2 years of front office or admin experience experience/training in customer service experience with word processing applications (Word, Excel, Google Docs, DocuSign) excellent written and oral communication skills ability to understand student concerns and handle issues appropriately ability to perform daily tasks and handle students with a calm demeanor and cheerful, positive attitude experience with marketing and social media a plus comfortable using email and communicating with students
RESPONSIBILITIES
Including but not limited to: appropriately discuss programs and answer questions with prospective students over the phone with ability to get prospective patients in for a tour works well with others to provide an exceptional experience for students greets all students upon entering the office and checks them in for their appointment collecting necessary information and disclosures from new and existing students schedules all appointments for students check out students and collect payments ensuring admissions files are complete and compliant following up with students to ensure complete and compliant admissions file supporting the admissions team laptop updates and distribution orientation planning and implementation ensure classrooms and office are tidy and clean; open and close classrooms in the morning and evening for tours
