In this vital role, you will be the first point of contact for visitors and callers, ensuring a welcoming and professional environment. Your expertise in office management, customer service, and administrative tasks will help keep our operations running smoothly. Responsibilities Greet visitors warmly, manage front desk activities, and direct them appropriately Answer multi-line phone systems promptly and professionally, providing excellent customer support Manage calendar appointments, schedule meetings, and coordinate office events efficiently Perform attendance entry and maintain accurate records using spreadsheets and productivity software Handle incoming and outgoing correspondence, including emails and mail distribution Maintain filing systems, organize documents, and ensure easy retrieval of information Assist with office management tasks such as supply inventory, equipment maintenance, and general administrative support Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry Excellent phone etiquette with the ability to handle multi-line phone systems confidently Strong computer literacy and technical proficiency to navigate various software applications Bilingual abilities are highly desirable to serve diverse client needs effectively Previous experience with QuickBooks or similar accounting software is a plus Exceptional customer service skills with a friendly, professional demeanor Ability to manage time efficiently, prioritize tasks, and work independently in a fast-paced environment Join us to be part of a vibrant team where your organizational talents and positive attitude will shine!
