Welcome every patient with warmth and professionalism Deliver an exceptional service mindset at every interaction Eliminate unnecessary administrative burdens from providers Build and/or follow existing repeatable systems that create consistency Continuously improve processes every day Take ownership of the pateint experience by providing outstanding patient communication coupled with outstanding patient follow-through Maintain an organized, clean, and efficient office Work as one team with one shared goal: delivering outstanding patient care Overview of Responsibilities Greet visitors, clients, and vendors with professionalism and enthusiasm, ensuring they feel welcomed and valued Answer the office phones promptly, efficiently, and courteously Manage appointment scheduling and calendar coordination using appt and calendar management tools Handle data entry, data management and data reporting tasks timely and accurately within spreadsheets, databases, and client management systems Maintain organized filing systems for patient charts and other business records Identify, provide and handle office management tasks such as ordering supplies, managing office equipment, and overseeing general administrative duties Provide excellent customer support through phone communication and in-person interactions while demonstrating strong phone etiquette and professionalism Confirm upcoming appointments through scheduled reminder texts and calls, and rebook cancellations from the waiting list to keep the schedule full Manage patient check-in and check-out, including verifying medical history, confirming appointment prep, processing payments, and scheduling the next visit Conduct outreach calls and texts to reconnect with patients who haven't visited recently and share current specials, packages, and referral offers Track and update the patient rewards program and package/discount usage Help plan and post daily social media content for the practice and its skincare line Monitor and restock treatment room supplies and support inventory organization, audit and management practices Help develop and submit in real time patient experience surveys and follow up on feedback received. Provide administrative support as needed to the providers to ensure they are free to deliver the services only they are licensed to provide Maintain responsibility for the office phone during assigned on-call periods between scheduled shifts, responding promptly to all incoming phone calls and text messages, managing daily patient communications including appointment reminders, monitoring appointment request platforms, and ensuring outstanding patient communication and follow-through. Experience Needed Proven clerical experience in an office environment with a focus on front desk or administrative support roles Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with productivity software Experience handling phones and providing exceptional customer service in fast-paced office settings Knowledge of fundamental office management procedures including filing, data entry, bookkeeping basics, and calendar management Comfort with patient outreach and communication systems (text, email, or call campaigns) is a plus Demonstrated organizational skills with the ability to prioritize tasks efficiently while maintaining attention to detail Join our small team that is dedicated to excellence to be at the heart of our daily operations!
