Full Job Description Position Summary:
We are seeking a highly organized, personable, and proactive Secretary & Receptionist to be the first point of contact for our busy auto repair shop. This role combines administrative excellence with top-tier customer service, ensuring the front office runs smoothly while creating a welcoming environment for customers.
Key Responsibilities:
Customer Service & Front Desk Greet customers warmly and professionally, in person and on the phone. Schedule appointments, confirm bookings, and coordinate drop-offs and pickups. Answer inquiries about services, pricing, and estimated turnaround times. Keep customers updated on vehicle repair status and communicate with technicians as needed. Administrative Support Maintain organized filing systems for invoices, work orders, parts inventory, and customer records. Process payments, issue receipts, and manage daily cash and credit card transactions. Prepare and send estimates and invoices using shop management software (e.g., Mitchell1, Shop-Ware, or similar). Order office and shop supplies, track inventory, and assist with vendor communication. Shop Coordination Communicate efficiently between technicians and customers to relay vehicle diagnostics, recommended repairs, and timelines. Assist in creating daily schedules for the mechanics and ensure workflow efficiency. Help track parts deliveries and coordinate special orders.
Qualifications:
Proven experience as a secretary, receptionist, or administrative assistant (auto repair experience a plus). Excellent communication and customer service skills. Strong organizational skills with attention to detail and accuracy. Ability to multitask in a fast-paced environment. Proficient in Microsoft Office (Word, Excel, Outlook) and experience with auto shop management software preferred.
