Role Overview The Front Desk Receptionist & Customer Relations Specialist is the face of Residents Medical Group - the first point of contact for candidates, visitors, and partners. This role blends professional front-desk operations, warm candidate-facing communication, service promotion, and essential administrative support to keep our office running smoothly and our candidates feeling welcomed and well-informed. Core duties include, but are not limited to, the following: Front Desk Operations Greet visitors warmly and professionally, ensuring a positive first impression. Manage incoming calls and emails, directing them to the appropriate departments or individuals. Maintain and uphold the overall presentation and atmosphere of the office, ensuring every area consistently reflects the professional and welcoming standards of Residents Medical Group. Proactively anticipate the needs of visitors, candidates, and staff, attending to the comfort and experience of everyone in the office throughout the day. Administrative Support Assist with administrative tasks such as sorting and distributing mail, managing appointments, and coordinating meetings. Maintain office supplies inventory and place orders as needed. Ensure cleanliness and tidiness of office common areas, including the reception area and kitchen. Handle orders for food, flowers, and other items to support office operations. Candidate Relations & Service Promotion Promote Residents Medical Group services and offerings to potential candidates through phone calls, emails, and in-person interactions. Schedule appointments for candidates to speak with Residency Specialist Counselors and provide information about Residents Medical's programs and support. Qualifications High school diploma or equivalent; additional certification in customer service or a related field is a plus. Proven experience in customer service, receptionist, or administrative support roles. Exceptional communication skills, both verbal and written, with a customer-centric approach. Strong organizational skills and ability to multitask in a fast-paced environment. Proficiency in MS Office suite and familiarity with standard office equipment. Positive attitude, empathy, and willingness to go above and beyond to support the team. A hospitality-oriented mindset with a natural instinct for creating an exceptional in-person experience.
