Job Description
Position Summary The Receptionist is the first point of contact for customers visiting or calling Envision Toyota of Milpitas. This role is responsible for providing exceptional customer service by greeting guests, answering and directing phone calls, supporting dealership operations, and maintaining a professional and welcoming front office environment. Key ResponsibilitiesCustomer Service Welcome customers and visitors with a friendly and professional attitude. Assist customers by directing them to the appropriate department, including Sales, Service, Parts, Finance, or Management. Maintain a clean, organized, and welcoming reception area. Ensure customers receive prompt attention while waiting. Phone Operations Answer and manage a multi-line phone system. Transfer calls accurately and efficiently. Take detailed messages and deliver them promptly. Schedule appointments or connect customers with the appropriate personnel. Administrative Duties Perform filing, scanning, copying, and data entry. Handle incoming and outgoing mail and deliveries. Assist with maintaining customer records and dealership databases. Prepare customer packets, forms, and other administrative documents. Support showroom traffic logging and daily reports. Dealership Support Coordinate with sales consultants, service advisors, managers, and office staff. Assist with Customer Satisfaction Index (CSI) follow-up calls when needed. Support dealership events, promotions, and customer appreciation activities. Perform additional administrative duties assigned by management. Qualifications High school diploma or equivalent. Previous receptionist or customer service experience preferred. Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Professional appearance and positive attitude. Proficiency with Microsoft Office (Word, Excel, Outlook). Ability to learn dealership management software such as CDK or Reynolds & Reynolds. Ability to work in a fast-paced dealership environment. Ability to use standard office equipment, including computers, phones, printers, and copiers. Ability to occasionally lift up to 20 pounds. Work Schedule Full-time position.
