A Front Desk Receptionist at Rella Aesthetics Medical Spa plays a pivotal role in shaping the client experience. From the moment a client steps in or reaches out, the receptionist is the main point of contact to deliver professional and helpful standards. This individual not only welcomes guests with warmth and professionalism but also handles critical operational tasks that ensure a smooth running of the spa's day-to-day activities. With responsibilities ranging from managing appointments to addressing client inquiries, the Front Desk Receptionist is vital to maintaining the spa's reputation for excellence and ensuring that every client's visit begins and ends on a positive note. This position demands a blend of excellent communication skills, organizational and prioritization skills, and a genuine passion for customer service. All aimed at fostering an environment where relaxation and satisfaction are combined to create the one and only Rella Experience.
Job Summary & Tasks:
Greet Clients:
Warmly welcome clients as they arrive, setting the tone for their experience with professionalism and a friendly demeanor. Maintain a personalized experience for anyone who walks through the door.
Appointment Management:
Efficiently handle scheduling duties, including booking, confirming, rescheduling, or canceling appointments through the booking software system. Manage waiting lists and make adjustments to appointments based on client needs and service availability. Ensuring consistent attention to detail with appointment bookings including forms and deposits.
Client Inquiries:
Act as the first point of contact for clients' questions or concerns, providing accurate information about services, pricing, and policies both in person and via phone or email.
Record Keeping:
Update client profiles with appointment notes, preferences, and relevant details to personalize their experience.
Point of Sale Operations:
Process payments, handle transactions, and manage the cash drawer, ensuring accuracy in all financial dealings.
Spa Maintenance:
Oversee the reception area to ensure it remains clean, organized, and welcoming. Coordinate with housekeeping or management staff to coordinate cleanings or maintenance as needed to address issues promptly.
Product and Service Knowledge:
Stay informed about the spa's offerings, including treatments, products, and promotions, to provide clients with up-to-date knowledgeable recommendations and updates.
Team Collaboration:
Work closely with clinic staff and management to ensure a seamless client experience, reporting any issues or feedback that could help improve spa operations or client satisfaction. This role requires a person who is adaptable, detail-oriented, and capable of multitasking in a fast-paced environment, with a constant focus on providing an exceptional customer experience.
