Job Description
Description We are looking for a detail-oriented Receptionist to support daily front-desk operations in California. This long-term contract position is ideal for someone who is comfortable managing a busy phone line, welcoming visitors, and handling confidential information with discretion. The right candidate will bring strong communication skills, sound judgment, and an experienced approach to administrative support in a detail-oriented office environment.
Responsibilities:
- Greet guests and staff in a courteous manner while creating an organized and detail-oriented front-desk experience.
- Answer and direct incoming calls using a multi-line phone system, ensuring messages are accurate and routed promptly.
- Support day-to-day administrative activities such as managing incoming requests, tracking priorities, and assisting with assigned office tasks.
- Prepare, organize, and safeguard sensitive documents and information in accordance with confidentiality expectations.
- Coordinate with leadership and client contacts to provide updates on assignments, timelines, and service-related concerns.
- Assist with additional projects as business needs evolve and help maintain smooth office operations.
- Monitor the reception area to ensure visitors are assisted efficiently and internal teams receive timely support. Requirements
- At least one year of experience in office support, workplace services, or a similar administrative setting.
- Prior background in reception, switchboard operations, or administrative assistance is strongly preferred.
- Proven ability to manage inbound calls through a multi-line phone system with accuracy and discretion.
- Strong verbal and written communication skills with the ability to interact effectively with clients and internal teams.
- Ability to handle confidential materials with discretion and maintain a high level of care.
- Comfortable working in a corporate, legal, banking, or similarly fast-paced detail-oriented environment.
- Dependable organizational skills and the flexibility to take on varied responsibilities as needed.
