We're looking for a professional, organized, and customer-focused Front Desk Coordinator - Operations to join our team at our San Diego manufacturing facility. This position serves as the first point of contact for visitors, customers, vendors, and employees and plays an important role in creating a welcoming, professional, and safe front-of-house experience. The Front Desk Coordinator will manage reception activities, incoming communications, visitor coordination, deliveries, and provide administrative support to Operations and company leadership. Responsibilities Greet and assist visitors, customers, vendors, candidates, and employees in a professional and welcoming manner. Answer and direct incoming calls promptly and courteously. Manage visitor and contractor check-in procedures and follow facility security protocols. Coordinate conference room scheduling and meeting logistics. Receive, sort, and distribute mail, packages, and deliveries. Maintain the appearance and organization of the reception and common areas. Provide administrative and operational support as needed. Assist with company events and employee activities. Coordinate customer facility tours, including visitor logistics, lunches, and meeting setup. Capture photos and videos during in-house events, meetings, and company activities for internal communications and marketing purposes. Assist with holiday party preparations, including packing and wrapping employee gifts. Support logistics for out-of-state trade shows and marketing expos by preparing and organizing promotional materials, collateral, and signage. Order and maintain inventory of employee business cards. Assist with preparing and sending client greeting cards and gifts. Coordinate front desk donation drives and community giving initiatives. Serve as a resource for employees and visitors by providing accurate information and directing inquiries appropriately. Handle sensitive and confidential information with discretion. Identify and proactively resolve issues while maintaining a positive customer service experience. Collaborate with Operations, Marketing, and HR to support visitors, tours, events, and facility needs. Minimum of 2 years of experience in a receptionist, front desk, administrative, customer service, or related role. Strong verbal and written communication skills. Bilingual English/Spanish. Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, Teams, and PowerPoint. Ability to maintain confidentiality and exercise sound judgment. Professional appearance and demeanor. Ability to interact effectively and professionally with individuals at all organizational levels. Preferred Associate degree. Physical Requirements Ability to work at a computer and remain seated for extended periods. Ability to communicate effectively in person, by telephone, and through electronic communications. Ability to occasionally stand and walk throughout the office and facility. Ability to frequently reach with hands and arms while performing job duties.
