Job Description

Description We are looking for a dependable Office Assistant to support a growing team in California. This is a contract position suited for someone who can be onsite part-time for a few hours each week to help keep the workplace organized, functional, and ready for daily operations. The role is ideal for a proactive, detail-oriented individual who notices what needs attention, responds quickly, and helps create a smooth office experience for employees and visitors.
Responsibilities:
  • Maintain a tidy, well-organized office environment that feels welcoming throughout the week.
  • Oversee shared spaces such as the kitchen and refrigerator area to ensure cleanliness and proper stocking or upkeep.
  • Accept deliveries, sort incoming packages, and make sure items reach the appropriate recipients or storage locations.
  • Check the office regularly for maintenance, supply, or workspace issues and address them or escalate them as needed.
  • Prepare conference rooms and common areas in advance of meetings or team gatherings.
  • Provide front-office and general clerical support, including document handling, scanning, and related administrative tasks.
  • Assist with basic receptionist-style duties, such as answering inbound calls and helping direct inquiries appropriately.
  • Support evolving office operations as business needs grow, which may include coordinating vendors, improving routines, or assisting with onboarding and workplace logistics. Requirements
  • Previous experience in an office support, administrative, receptionist, or office coordination role.
  • Ability to work onsite in San Francisco, California on a part-time schedule with flexibility across weekdays.
  • Strong organizational skills with the ability to manage multiple small tasks independently and consistently.
  • Comfortable handling clerical duties such as document scanning, filing, and general office administration.
  • Strong communication skills, including the ability to answer inbound calls and interact courteously with staff, guests, and service providers.
  • Reliable judgment and a proactive approach to identifying and resolving day-to-day office needs.
  • Ability to lift and move typical office deliveries or supplies as needed for package and workspace support.
