Job Description
Description We are looking for an experienced Receptionist to support daily front-of-house and office operations for a hedge fund in San Francisco, California. This Contract position is ideal for someone who brings strong administrative assistance skills, creates a welcoming environment for visitors and employees, and keeps workplace activities running smoothly. The person in this role will balance reception coverage, coordination tasks, and practical office support while maintaining a detail-oriented and service-oriented presence.
Responsibilities:
- Welcome guests, employees, and vendors with a detail-oriented approach while managing the reception area and directing inquiries appropriately.
- Coordinate day-to-day workplace needs, including meeting room scheduling, visitor logistics, and general office readiness.
- Provide administrative support such as handling correspondence, organizing documents, and assisting with routine office requests.
- Monitor office supplies and place orders to maintain appropriate inventory levels for daily business operations.
- Support onsite events, catering arrangements, and team meetings to ensure a well-organized employee and guest experience.
- Partner with internal teams and external service providers to address facility-related needs and maintain an efficient workplace environment.
- Manage incoming deliveries, mail distribution, and outgoing shipments in a timely and accurate manner.
- Assist with operational updates or workplace process changes as needed, including coordination related to office systems or tools when applicable. Requirements
- Prior experience in reception, workplace coordination, office administration, or a similar support-focused role.
- Strong administrative assistance skills with the ability to manage multiple tasks and shifting priorities.
- Excellent verbal and written communication skills with a welcoming demeanor and strong attention to detail.
- Proven ability to stay organized, exercise sound judgment, and maintain attention to detail in a fast-paced office setting.
- Proficiency with standard office software and common workplace tools used for scheduling, communication, and document management.
- Ability to work effectively with employees, visitors, vendors, and leadership in a high-expectation work environment.
- Reliable, service-oriented mindset with the flexibility to handle both routine responsibilities and time-sensitive requests.
