00 - $24.00 per hour, DOE ## Position Summary Our client a manufacturing company in Temecula, CA seeking a professional Receptionist / Customer Service Representative to be the first point of contact for visitors and callers. This role supports front desk operations, customer service, and order-related coordination with internal departments in a fast-paced production environment. ## Essential Functions Warmly greet and assist visitors in person and by phone, directing inquiries to the appropriate personnel. Answer, screen, and forward incoming calls using a multi-line phone system. Provide accurate and helpful information to visitors and customers via phone, email, and in person. Collaborate with cross-functional teams (QC/Accounting, Manufacturing, Shipping, and others) to: Gather order status information Process orders and Return Merchandise Authorizations (RMAs) Communicate order status, availability, and pricing to customers Maintain and update customer information in the database and generate monthly complaint reports. Maintain associate and department directories to facilitate efficient visitor and caller guidance. Ensure the reception area is tidy, organized, and stocked with necessary materials. Receive, sort, and distribute daily mail and deliveries. Uphold office security protocols, including monitoring the visitor logbook and issuing visitor badges. Monitor office supplies and submit requests for replenishment as needed. Update calendars and schedule meetings upon request. Perform general clerical duties such as filing, photocopying, scanning, transcribing, and faxing. Utilize appropriate internal systems and resources to provide accurate and comprehensive information. Identify and assess customer needs to ensure satisfactory resolutions and a positive customer experience. Correspond with customers via email and respond professionally to online reviews. Coordinate with QC/Accounting, Manufacturing, and Shipping departments to resolve issues and ensure timely order fulfillment. Contribute to team efforts by assisting with related tasks and special projects as required. ## Required Education and Experience High school diploma or equivalent. Intermediate proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and internet applications. Minimum typing speed of 40 words per minute. Effective verbal and written communication skills in English. Experience handling a multi-line phone system. Demonstrated skills in verbal communication, active listening, professionalism, customer focus, organization, and issue resolution. Ability to work effectively and remain composed under pressure. Comfortable working in a fast-paced manufacturing environment with frequent interruptions. ## Preferred Qualifications Minimum of 2 years of experience in a Receptionist, Customer Service, or related administrative role. Experience in a manufacturing or distribution environment preferred. Knowledge of supply management, order processing, or basic logistics is a plus. Bilingual (English/Spanish) preferred but not required.
