Duties Greet visitors and clients warmly, providing exceptional customer service and maintaining a professional front desk presence Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle incoming correspondence, including emails, mail, and packages, ensuring timely distribution and filing Maintain accurate records through data entry, spreadsheets, and word processing using productivity software such as Microsoft Office Support office management tasks including scheduling appointments, calendar management, and coordinating meetings Assist with clerical duties such as filing, photocopying, and organizing documents to ensure an efficient workspace Utilize technical proficiency in computer skills and software applications to support daily operations and client communication Requirements Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry tasks Excellent verbal and written communication skills; bilingual ability is a plus for diverse client interactions Experience with multi-line phone systems and phone etiquette to handle high-volume calls professionally Strong computer literacy with the ability to adapt quickly to new software or technical tools Demonstrated customer service skills with a friendly, professional demeanor at the front desk Prior administrative experience or personal assistant background preferred for supporting office functions effectively Ability to manage time efficiently, prioritize tasks, and work independently in a fast-paced environment
